The Legal Operations Assistant will support the overall organization of the Legal Department. A candidate with previous legal admin experience is preferred, but not required.
Essential Functions
Agreement Management:
- Monitors deadlines, documents actions and inputs information into tracking schedules
- Prepares final agreements for signature
- Royalty reporting
Corporate Compliance Management:
- Maintains corporate books and ensures all contents are up-to-date
- Maintains current entity organization charts and lists, including current directors and officers
- Prepares requests for certified charters and good standing certificates
Miscellaneous Administrative Tasks:
- Notarizes and assists with foreign legalization requirements
- Schedules meetings for the Legal Team
- Drafts letters and memos
- Prepares signature packets
- Assisting with Intellectual Property maintenance
- Assists with billing and coding
Other duties
- Employee can be asked to perform other duties that are reasonable within the area of expertise
Required Skills/Abilities
- Filing expense reports
- Ability to multi – task
- Superb organizational skills
- Previous administrative role in a professional setting
- Detail oriented
- Enjoys a fast-paced environment.
Education and Experience
- Bachelor’s or associate degree preferred, but not required
- Minimum of 1 year in an administrative legal role, or relevant experience
- Experience in Microsoft Applications (Word, Excel, PowerPoint, Teams) required.
- Experience with Adobe
Work Environment
The primary location is Gibson HQ in Nashville. Opportunity for flexible schedule.
Travel Requirements
- Periodic travel to and between the company’s manufacturing locations may be required.
